The Cottonwood Hotel is an exclusive property where every guest reservation is both important and special to us. ***Due to our small size we do ask that all guests take full responsibility for their reservations. By allowing guests to stay as little as 1 to 3 nights, these short stays block longer extended/vacation rental stays from being booked. Please note that our rates are prepaid, nonrefundable and nontransferable.
Any added nights, purchases of other items, late arrival, fees for changing dates, additional housekeeping, are due at time of purchase. Late check-out fees, missing or damaged items, excess cleaning, will be charged to your credit card.
ASSIGNED PARKING: Please park in your assigned parking space in the rear parking lot behind the hotel. It is MARKED by the #number of the unit you have reserved. EXAMPLE: If you are staying in unit #1, park in space marked unit#1. #3 is fence side (unmarked) and please park diagonal.
STREET PARKING: Is fine too, but may be limited.
CHECK-IN: ***NOTE: We do not keep office hours, so it is important to set an approximate scheduled arrival time. Recommended is a scheduled time between 3-5:30 pm. For EARLIER and LATER Check-In, see below.
EARLY CHECK-IN: This is not always doable. If you have requested an earlier check-in or arrive early, you may park in your assigned parking space. Then call the office or text the innkeeper on that day to see if your reserved room is cleaned and ready. The office & innkeeper cell numbers are posted on the hotel office door. I am normally upstairs cleaning between my earliest check-out, up until 4pm on busy days. If your room is ready, I will gladly come down to get you checked in early. NOTE: PLEASE don't request an earlier check-in if you are not going to be here at that time, as I will be expecting you at your requested time. I plan my day around scheduled check-ins and cleaning. Sometimes, I schedule in a tour or 'am involved in other personal daily activity and may not be available if you arrive at another time, other then what you have scheduled. If you do not show up for your check-in time, the room may be re-rented or a late fee of $30 charged. It is important to call us and let us know ASAP of any changes or delays.
LATE CHECK-IN: Can also be scheduled. I am always happy to accommodate situations that are prearranged, and will accommodate for airport delays, shuttles from PHX, after work Fridays coming up from Phoenix, etc. Calls are necessary, so that your room is not treated as a NO-Show.
ARRIVING BY SHUTTLE: Please let us know your schedule in advance, so that we can make arrangements to be available upon your arrival here at the hotel.
CHECK-OUT TIME is 11:00 AM. Check-outs extending beyond 11AM are subject to additional charges of a half to full day. It is extremely important that we are able to have FULL access to the suites for cleaning by 11am for the next arriving guests. If the suite is not booked, we are always happy to accommodate late check-outs, if it does not interrupt our daily business.
MAXIMUM OCCUPANCY: Only two adult guests are permitted in rooms 3, 4, and room 5. Accommodations in suites #1 and #7 and sometimes #2 can accommodate a third person with 3rd person fee for a night or two. Longer stays are more suited for a single or couple. The Cottonwood Hotel has a maximum occupancy code in effect. As a historic property with only 1 entrance in and out of the upper floor hotel, there is a maximum of 12 people for the WHOLE UPPER FLOOR.
ALL GUESTS (names) staying overnight on the property MUST be registered.
MINIMUM AGE: Anyone under the age of 18 must be accompanied by an adult.
HOUSEKEEPING & SUPPLIES: For stays 2 nights and longer, daily housekeeping is included. Other housekeeping options are available. NOTE: If you select No Service, we stock plenty of extra towels and places to hang dry towels. A starter supply of paper, soap goods for bath and kitchen and basic cleaning supplies are always provided for you in the unit. Your unit is always cleaned with pride and sanitized prior to your arrival. We guarantee that when you sit on our toilets you will not see dirt, dust or dander on our baseboards or in our corners. If for any reason you do not find the cleanliness up to your standards upon arrival, please let us know immediately and we will clean to remedy the situation. Optional, additional housekeeping services may be scheduled if needed. Light housekeeping: make bed, changing bath towels, dusting, vacuuming, cleaning the bathroom, trash removal. If dishes need washing or appliances need scrubbing, or any other extensive cleaning is needed, additional fees may apply.
The Cottonwood Hotel property is 100% NONSMOKING. The State of Arizona SMOKE-FREE law can result in fines up to $1500. You must be 20 feet from all windows and doors. You may smoke in the designated rear parking lot smoking area under the tree. Please do not litter.
PARKING: You are ASSIGNED (1) PARKING SPACE in the rear parking lot. Your assigned space is by unit number. Unauthorized vehicles in the parking lot will be booted for a fee of $50 at vehicle-owners expense. Cottonwood Hotel will not assume responsibility for damages to your personal or rental car.
24/7 Emergency Maintenance: If there is an emergency, please telephone our home/office. If we do not answer please leave a message and we will get back with you ASAP. If the problem can wait until morning, we would appreciate your calling us no later than 8PM. ***Owner/Management lives on the property and is never too far away.
RISKS/SAFETY: Children are welcome and must be supervised at all times. Cottonwood Hotel does not assume responsibility for injuries occurring during your stay.
PET-FRIENDLY (Dogs ONLY): Street Level Unit 7 ONLY UPON PRE-APPROVAL!
***ABSOLUTELY NO PETS ALLOWED on UPPER FLOOR or common areas at any time!
***PET FEE: $50
***$300 UNAUTHURIZED PET FEE.
***We will not accommodate guests who plan to leave their pet(s) in their car during their stay. If you have a pet, please call so that we may help you make arrangements to board your pet locally.
ALCOHOL: Intoxicated guests are not permitted as overnight guests and are responsible for finding their own alternative lodging. Please drink responsibly.
COSTS for DAMAGES caused by negligence, neglect, misuse, accidents or irresponsible behavior will be assessed to your credit card. Burning candles are not allowed. Any damages to bed linens due to wine spills, real or artificial rose petals, etc., will result in full replacement cost.
PARTIES/COMMERCE: While we fully expect our guests to enjoy company of family or friends visiting, our units are not rented out for parties nor can they be used as a place of commerce. Large numbers of people coming and going and/or excessive noise will result in immediate eviction, with no refunds.
LEAVE SOMETHING BEHIND: You have two options...
1)To save you an additional fee, please send a prepaid pre-addressed proper packaging for us to send out your left behind item(s). We will then drop it into a mail box at our earliest convenience.
2) If for any reason we have to drive to the post office, stand in line, for postage, packaging or any other reason, there is a $25 fee for our inconvenience plus shipping and handling.
Rates/Policies are subject to change and vary during high impact periods and special requests.
We reserve the right to refuse service.
Reservation or Accommodation Agreement
This reservation is a direct contract created between the Hotel and the Guest(s)/Client (the "Accommodation Agreement").
ACKNOWLEDGEMENT: I acknowledge that I have read and understand the terms and conditions of the Cottonwood Hotel "Accommodation Agreement" & Policies and agree to be bound thereby.
